We are looking for an Administrative Assistant/Office Manager to join our growing team. This position will support and report into the CEO and assist the Manager, Human Resources as well. An ideal candidate is one who is willing to jump in and help with any task and enjoys an entrepreneurial company. Responsibilities:
- Organize and coordinate office operations and procedures in order to ensure organizational effectiveness and efficiency.
- Ensure filing systems are maintained and up to date
Check main line voicemail
Schedule travel for CEO
Manage calendar of CEO
Assist in maintenance of HR files
Assist in scheduling of candidates
Train and orient new employees about the office policies, procedures and equipment
Sort and distribute mail daily - Greet visitors
Make plans and preparation for meetings and conference calls for CEO
Maintain an adequate inventory of office supplies
Maintain kitchen supplies and clean-up of kitchen
Act as primary liasion with building management and service providers
Insure follow through on maintenance agreements - Assist with CEO, HR & Office projects as needed
Requirements:
- At least 2 years of experience as office manager or administrative assistant
Proficient in Word, Excel and Powerpoint
Proficient in Outlook
Experience in working in an office environment and supporting an executive
Self-motivated and resourceful, with proven ability to multi-task and operate successfully under tight deadlines and time pressures
Enjoys a fast paced, dynamic, challenging and team-oriented work environment.Strong writing, reading, listening and communication skills. - Highly motivated, enthusiastic, organized, driven, a quick learner, professional, positive attitude, and can-do approach to problem solving.
